M J Warner Hire Terms & Conditions
“Your holiday starts where you park it”
Please read all terms & conditions through carefully.
The terms referred to in this document are;
You/your – the person or persons renting and responsible for the vehicle during the hire period.
Us/We/Our – the vehicle owners – M J Warner.
Hire – a period of time in which you have paid to use the vehicle on a temporary basis.
Hire period – the time in which you are insured and responsible for the vehicle.
The Camper/Vehicle – the property of M J Warner for which you are hiring.
Terms & Conditions are subject to change without notice.
Bookings
Please call or email us to confirm availability - we will then send you a booking form. Please complete and return the form as soon as possible. We will then require a non-refundable booking deposit of £150.00 per hire.
Driver Eligibility
Drivers must be over 25 and under 75 and must have held a full valid UK driving licence for a minimum of 2 years. Drivers must have no more than 6 points* (current or pending), no more than 1 fault accident in the past five years and be in good health. Your occupation may restrict your ability to hire (eg, professional racing driver, Musicians, Vehicle breaker) - please call us for details.
A second driver may be insured for an additional daily fee (See tariff for cost)
*We are unable to insure any drivers with the following penalty codes regardless of the number of points or the time since the offence;
AC10, 20, 30 – Accident offences
BA10, 30 – Disqualified driver
CD40, 50, 60, 60 – Death through careless driving
DD40, 60, 80 – Reckless/dangerous driving
DR – All codes – Drink/drugs
IN10 – Insurance offences
LC – All codes – Licence offences
MS – All codes – Miscellaneous offences
TT99 – Special code
UT50 – Theft or TWOC
Insurance
Our campers are comprehensively insured for the contracted Hire Period for use in the UK mainland only. Hirers should note that they are not covered should the vehicle not be returned at the stipulated date and time.
Please note that the insurance is for the vehicle, its equipment, fixtures and fittings only. Punctures and tyre damage is excluded from cover and is the responsibility of the Hirer.
Our vehicles carry a £750 accident/damage excess (please see Security Deposit). This excess can be reduced to £100 for an additional fee through our recommended third party insurance broker. Please use this link to obtain a quote http://www.questor-insurance.co.uk/affiliate/?ag=174343
We do not cover holiday cancellation or curtailment, personal injury (however caused) or personal effects. We strongly recommend that you arrange your own separate cover. We can provide details of suitable independent brokers.
Mileage
The vehicle has unlimited mileage for UK use only.
Payments
Full payment is required no later than 6 weeks prior to departure. If you are making a booking with less than 6 weeks to go, full payment is required immediately. Once your booking forms have been returned and our invoice issued, you must be aware that you have entered into a binding contract with us. In the event that monies are not paid and cancellation subsequently follows, full hire charges become due.
Please note that the initial deposit of £150 and Security Deposit of £500 may be paid in cash but balances can only be accepted by credit or debit card.
Security Deposit
A security deposit of £500 is payable (in cash or credit card) on collection of your camper. The £500 security deposit is refundable on safe return of the vehicle, in the condition in which it left, subject to a satisfactory inspection by us. This deposit is to cover the possibility of negligent damage to the vehicle and/or the fixtures and fittings and/or the equipment included in the rental. The vehicle and equipment must be returned in good condition, with no damage to it, its contents or any third party property. The security deposit will be refunded within 5 days of the end of the hire period. Should there be any damage, costs for any repair, replacement or special cleaning, the costs will deducted from this security deposit before the balance is returned to you. In the event that there is a claim we reserve the right to retain the security deposit for a longer period as is necessary to quantify the charges incurred which are to be deducted from the deposit.
Fixed penalty notices/Congestion charges/Motoring offences
In the event of a Fixed Penalty Notice (such as parking or speeding) or London congestion charges being issued during the Period of Hire, your details will be forwarded to the relevant authority. You are responsible for all motoring offences incurred during the rental period.
Minimum/Maximum hire periods
The minimum hire period is 3 days. Please also note that during Peak Season (May to September) we may be unable to offer a camper for less than one week at a time. We will however try to oblige where possible as there may be cancellations. Please contact us for short notice hires.
For extended hire periods we offer the following discounts:
2 weeks – 5% off
3 weeks – 10% off
Collecting your hire vehicle
Vehicles are generally available for collection on a Friday from 3pm until 5pm. Please allow at least 1 hr for the handover. This will allow for the completion of the documentation and a comprehensive demonstration of the vehicle functions.
Each driver (maximum 2, see Driver Eligibility) will need;
- Their driving licence (both parts if you have the new photo style one).
- Proof of identity in the form of a utility bill or bank statement dated within the last 3 months, at your current address.
- The credit or debit card that the payment was made with.
Failure to bring these items on the day will result in us being unable to provide insurance cover. Your hire fees will be forfeited.
A damage deposit will be taken upon collection in the form of a credit/debit card or cash transaction for £500. This will apply to every incident including loss or damage to the camper, its equipment, fixtures and fittings or to any Third Party vehicles.
Parking your personal vehicle at our dealership – You may leave your vehicle at our premises for the duration of the hire period. Customers are reminded that vehicles & contents are left at their own risk.
Returning your hire vehicle
You will be required to return your camper by 10am at the latest unless otherwise agreed. If you over-run your insured period you may be charged for an extra day at our daily rate. We reserve the right to make a £50 charge for vehicles returned with excessively dirty interiors. Please return the camper with the full tank of fuel that it was provided with. We have a petrol station opposite our dealership if you need to top up before returning.
No refunds will be made for vehicles returned earlier than the agreed Hire Period.
Security Deposit refunds
Your damage deposit will be £500 payable in cash or credit/debit card. Security Deposits will be returned in full provided the vehicle is returned clean and tidy with full inventory, without damage, on time, and with a full tank of fuel. Refunds will be made within 5 working days of the return of the vehicle following cleaning and full inspection.
Cancellations
Please note that your £150 booking deposit is not refundable once your booking has been confirmed by us.
In the event that you wish to cancel a booking:
· 6-4 weeks prior to your holiday – 50% hire charge will be refunded (less your non-refundable booking deposit).
· Less than 4 weeks prior to departure – no hire charge will be refunded. If you have made a late booking, the full hire rate will be due.
You are once again advised to arrange your own holiday insurance to safeguard against such losses.
In the event of cancellation by us
It would be a last resort for us to need to cancel on you. However there may, on very rare occasions, be a need to change the vehicle you had booked for a replacement one or cancel your booking completely (if for example the camper has been involved in an accident or breakdown prior to your booking). Under these circumstances we will offer a full refund of all monies paid. In this event you will have no further claim of any kind against us. You are advised to take out holiday insurance to cover these eventualities.
M J Warner reserve the right to cancel the Hire in the event of invalid driving licences or if our Terms and Conditions are not met. The cost of the Hire will not be refunded in these instances. We reserve the right to cancel your booking if weather conditions pose a significant risk to the safety of you or the vehicle. A full refund will be made under these circumstances.
Vehicle condition
We make every effort to keep our vehicles in the best possible order.
Before accepting the camper we will ask you to sign for its current condition. You are responsible for taking every reasonable precaution to prevent damage and breakages. The security deposit will not be refunded in part or in full should damage occur during the hire period. There shall be no refund or abatement of the hire charge for any period that the vehicle shall be out of service during the hire period, nor will we be responsible for the cost of a replacement vehicle, alternative accommodation or transportation of any kind. Any problems encountered during the hire must be reported to us immediately.
Fuel and engine oil
Vehicles are supplied with a full tank of fuel and should be returned full. We will check and adjust all lights and levels before your journey but you are responsible for maintaining the correct level of engine oil and coolant during the hire. Failure to do so may result in engine damage, for which you will be responsible for up to the cost of a replacement engine.
Accidents
In the event of any accident, you must notify us immediately. An accident report form must be completed and returned to us at the end of hire period. You are not authorised to instruct any repairs without the permission of us. You should never admit liability regardless of the circumstances.
Vehicle faults
Please inform us immediately of any faults with the vehicle that you find during the hire period. Authority for repairs must be obtained from us before allowing any work to be carried out.
Breakdown cover
We provide you with full RAC Roadside, Recovery, Home Start and onward travel cover in the unfortunate event of an accident or breakdown. We will provide contact details when you collect your camper.
Whilst we make every effort to ensure our vehicles are in full working order – we will not accept liability for consequential losses or claims arising from breakdown, accident or other cause. We will, however, do our utmost to provide you with a replacement vehicle, subject to availability, or offer a refund.
Loss/damage
Damage to the exterior or interior of the vehicle, living or cooking equipment, windows / blinds, elevating roof and any equipment on hire will be charged to you in all cases. No claim by you will be considered in respect of any loss or damage to personal belongings or effects of any person or persons.
In the event that keys are lost or damaged you will be liable for the costs of obtaining a replacement.
Use of the vehicle
The hirer agrees that during the rental period, he/she will not allow the vehicle to be:
- Used to carry more passengers than the seatbelt capacity or allow it to become overloaded.
- Used to carrying passengers or goods for hire or reward.
- Taken outside of the UK mainland.
- Driven otherwise than in a cautious, prudent and normal manner.
- Used in a manner which could cause damage.
- Driven in a prohibited area or off road.
- Driven by a person under the influence of alcohol or drugs or with a blood alcohol level in excess of that permitted by law.
- Left with the ignition key in the vehicle while it is unoccupied.
- Driven by persons not authorised to do so by M J Warner.
- Damaged by submersion in water or contact with salt water.
- Used for any illegal purpose for any race, rally or contest.
- Used to tow any vehicle or trailer
- Used to carry volatile liquids, gases, explosives or other corrosive or inflammable material.
All our vehicles have a strict no smoking policy in conjunction with English Law.
The hirer agrees that during the rental period he/she will be responsible for the cost of making good any damage caused to the vehicle by improper use.
Understand that any damage to the interior of the vehicle or equipment will be charged to the hirer in all cases.
Understand that M J Warner is not liable to you or any authorised driver or passenger for loss of or damage to property left in the vehicle either during or after the hire period unless such loss or damage results from our negligence or breach of the Rental Agreement. Such property is entirely at your own risk.
Items that we provide with your camper
A full tank of fuel (which you are required to refill upon return), kitchen cutlery, plates, mugs, bottle & tin opener, cork screw, pots and pans, silver foil, chopping board, gas cooker/hob lighter, dish cloths, washing-up liquid, dust pan and brush, kettle, cheese grater, toaster, ice tray, 240V hook up cable, bin bags, connection lead for ipod/MP3 player to the radio/cd player, fire extinguisher.
We do not provide: Bedding, towels, kitchen roll, toiletries, food or a first aid kit.
Hiring check list
1. You can only pay the remaining balance by credit or debit card. This payment must be made at least 6 weeks before your hire date.
2. You MUST bring with you (for each driver) –
- Both parts of your driving licence if you have the new style photo card
- A utility bill or bank statement from the last 3 months showing your current address
- The credit/debit card that you paid the initial deposit with.
- The security deposit in cash or have cleared funds available on your credit/debit card for £500
Failure to bring any of the above will result in refusal to hire.
